Job Description
Tasks
- Receive and triage tenant maintenance requests via email, portal, or phone
- Log and track maintenance tasks in systems like PropertyMe or Console Cloud
- Communicate with landlords for approval of repair jobs and quotes
- Source and assign tradespeople based on job type and location
- Schedule and confirm jobs with tenants and trades
- Follow up on work orders to ensure timely completion
- Maintain accurate records, notes, and attachments in CRM
- Flag urgent issues (e.g., safety or insurance risks) to local PMs
- Assist with compliance-related maintenance (e.g., smoke alarms, safety checks)
- Provide regular maintenance updates to the Property Manager and landlords
Skill and Experience
- Proven experience in a real estate, property management, or admin coordination role
- Excellent written and verbal communication skills
- Strong problem-solving and follow-up discipline
- Ability to manage multiple open work orders and track progress efficiently
- Confident communicating with tenants, landlords, and trades
- Experience using PropertyMe, Console Cloud, or similar platforms preferred
- Familiarity with tools like Bricks+Agent, Maintenance Manager, or job scheduling apps is a plus
- Ability to work in AU time zones and handle urgent requests with initiative
